Reservation requests

Reservation request help your organization to introduce individual reservation approval for certain registrations. Please see the reservation request workflow for a visualization.

 

How it works

1.A user enters a new reservation. After the usual checks, the reservation is saved in a request state rather than as a valid reservation
2.An email is sent to the staff to notify of the request
3.Staff checks the request and approves or declines it (leading to a valid or a disapproved reservation)
4.The user gets a notification in both cases

 

How to implement it

1.Make sure the text templates for reservation requests are defined
2.Make sure your responsible staff has the "Manage reservation requests" permission and their email addresses have "Reservation requests" checked.
3.Check "Use reservation requests" in "Company / club " > "Settings" [Reservations]
4.Check "Use reservation requests" in "Aircraft" > "Aircraft types" for applicable registrations.
5.You can waive the reservation request work flow for certain users by checking the "Can reserve directly" in "User" > "User administration" [Reservation] setting. These user can straightly enter valid reservations, regardless of the configuration.
Please note that users with "Manage all reservations" permission automatically enter valid reservations. You don't need to check the bypass setting for these users.

 

How to check reservation requests

1.Navigate to "Reservation" > "Reservation requests"
2.Check "Approved" or "Declined" as appropriate. If both are left unchecked, the request will remain in the list.
3.Click on clip0007 to change the reservations to the corresponding state and send notifications to the affected users.

The number of pending reservation requests is shown on the welcome page to authorized users.
