There are three distinct features regarding staff management:

User resource groups

User resource groups exclusively control the visibility of users in the timeline view. It has no effect on the availability whether a user is in a user resource group or not.

To make a user visible in the timeline view

1.add a user resource group (if required)
2.set the user to this user resource group (see user resource group setting in the  "Reservation" tab of the user administration)

Info16

If you cannot see the user in the timeline: make sure he/she is enabled in your personal reservation display settings

Typically, flight instructors should be added to a "flight instructor" user resource group to make their schedule visible to all users.

Duty roster and availability

The duty roster exclusively controls the availability of users and has no effect on the visibility. It allows you to manage duty and absent times of your staff and prevent conflicting reservations. See duty roster for details.

Info16

The duty roster is suitable to manage the regular, particularly recurring availability of your staff. Short absences can be handled with reservations:

1.Define a "Type of flight" that requires no aircraft (like "Unavailable")
2.Enter a reservation for the user to state his unavailability for this period

This will be prevent further reservations for the absent period.

Day-to-day responsibility

This feature allows you to designate persons that are responsible for a specific task on a particular day (e.g. operations officer).
